About the Role

Swiftly is seeking our very first Senior IT & Security Manager! As we continue to grow, we need an IT and information security expert to help us take our systems, processes, and policies to the next level so that the Swiftly team can do their best work at scale while also keeping employee and customer data safe and secure. 

This is an individual contributor role to start (and likely for at least 12–18 months), with responsibilities spanning a very wide range of altitudes — from the highest level of strategy to handling day-to-day tactical tasks. Our IT ecosystem is almost entirely cloud-based, so deep familiarity with cloud technologies is a must. As the primary owner for all employee- and company-related IT / security responsibilities (note: we have a separate team that manages DevOps/CloudOps), your role will consist of three main parts, in this order of urgency:

1. Day-to-day employee support and IT maintenance — including directly providing help desk support, being a key part of onboarding and offboarding, provisioning and deprovisioning, and maintaining the company’s IT assets
2. IT strategy, policies, infrastructure, and projects — including owning business-critical IT projects, establishing relevant policies and guidelines, employee access control, and system automation
3. Security — including implementing policies and practices across the company that help us be more compliant with key security/privacy frameworks

Swiftly's physical office is located in San Francisco. However, we are open to candidates across the U.S., with preference toward Denver, LA, and San Francisco Bay Area. #LI-Remote

Responsibilities: Day-to-day employee support and IT maintenance (most immediate need)
  • Establish an efficient employee helpdesk and ticket system with clear SLAs, and provide day-to-day troubleshooting and resolve service requests from employees in alignment with SLAs
  • Partner closely with the People Team to maintain a great new hire onboarding experience, and streamline the offboarding process
  • Own end user IT onboarding, offboarding, hardware procurement, provisioning, and de-provisioning
  • Train employees on relevant software and hardware
  • Ensure audio-visual setup is effective and smooth for meetings (both in-person and remote), conference rooms, meeting areas, and internal events — either through setting these up yourself or working through local teams and/or office vendors
  • Track and maintain IT assets (software and hardware inventory)
  • Manage IT vendors, including sourcing new vendors, contract negotiations, and due diligence
  • Support customer-facing teams (Sales, Customer Success, etc) in addressing customer questions/requests that relate to our IT and/or security policies, practices, and protocol

  • Responsibilities: IT strategy, policies, infrastructure, and projects (phase 2 need)
  • Analyze our current systems and processes, and proactively identify, prioritize, plan, and execute IT projects to improve, update, upgrade, and/or automate our tools
  • Develop and implement IT policies and best practice guides for the organization
  • Partner with the Business Operations Team, People Team, and other stakeholders across the company to develop and implement Swiftly’s employee access control and employee access provisioning frameworks and processes
  • Partner with business stakeholders to ensure that our mission-critical systems integrate and talk to each other effectively and efficiently
  • Partner with key stakeholders across the organization to identify, deploy, and/or support new tools or solutions as needed for business
  • Identify and implement opportunities to automate and streamline systems across the company
  • Partner with stakeholders at Swiftly to troubleshoot vendor-related issues and integrate vendor software into our internal infrastructure
  • Provide IT trainings and resources as relevant

  • Responsibilities: Security (phase 3 need)
  • Follow industry-standard security best practices to keep employee data, customer data, and Swiftly intellectual property safe and secure
  • Lead the review, implementation, monitoring, and enforcement of information security policies across the company
  • Partner with stakeholders at Swiftly to ensure our internal policies, practices, and systems are both compliant with key security frameworks and certifications (e.g SOC 2, ISO 27001 etc) and make sense for the business
  • Manage third-party security reviews and audits
  • Implement and oversee software patching, technological upgrades, and other impactful changes to the information security environment for employee laptops and other employee-related equipment/assets
  • Be on-call to assist with security incident responses in the event of a breach

  • What we’re looking for:
  • 4+ years of experience leading IT operations and strategy
  • 2+ years of experience with information security, with a deep understanding of cloud-based employee/company tools
  • Demonstrated experience effectively owning day-to-day IT tasks as well as running large, complex projects
  • Demonstrated experience managing Macs, Windows machines, SaaS products, cloud technologies, VPN technologies, security monitoring applications, computer network penetration testing and techniques, and A/V solutions for employee- and company-related needs
  • Excellent analytic and troubleshooting skills addressing problems that span multiple domains (software, hardware, networking, systems)
  • Demonstrated experience delivering long-term solutions to technical problems and implementing automation solutions to help streamline processes
  • Demonstrated experience implementing IT and security solutions that helped companies scale
  • Proven ability to develop and oversee an organization-wide security and privacy program
  • Strong knowledge of information security, compliance, privacy, and/or other security standard methodologies, principles, and frameworks (e.g. SOC 2, ISO 27001, GDPR, etc)
  • Strong experience supporting geographically-distributed employees — across states in the U.S. and abroad
  • Excellent attention to detail; strong written and verbal communicator with a service oriented attitude
  • Track record of effectively handling multiple priorities and projects simultaneously, and independently driving projects from end to end
  • Track record of establishing trust with and influencing individuals across levels and teams

    In accordance with the Colorado Equal Pay for Equal Work Act (SB19-085), the approximate Colorado salary range for this role is $100K to $145K. This range represents the anticipated low and high end of the salary for this position. Actual salaries will vary and are based on a multitude of non-discriminatory factors including final role leveling decisions, a candidate's relevant work experiences/skills, and geographic location within Colorado. Note: salary ranges for non-Colorado candidates may be higher or lower than the Colorado numbers above depending on location.
